The opportunity

To provide effective and professional administrative support to the Pro-Vice Chancellor/Head of College and the wider Executive team as required.

The Pro-Vice Chancellor/Head of College is responsible for the leadership, direction, and day-to-day operations of the college and for delivering on a large cross-university thematic portfolio. This role is expected to support balancing these dual responsibilities and to manage the range of internal and external stakeholders that it generates. The postholder will use initiative to proactively manage the Head of College’s diary and provide administrative project support on their behalf.

About you

The Executive Assistant must be creative and enjoy working within a purpose-led educational organisation that is agile, dynamic, both mission and results-driven, and community oriented. You will have the ability to exercise good judgment across a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple competing priorities.

We are looking for a confident, experienced individual, skilled at organising the complex diary of an in-demand senior academic leader. You will be highly capable of managing expectations, communicating sensitive messages with diplomacy and tact, and dealing with confidential enquiries.

The role will require you to manage key strategic relationships on behalf of the PVC/HoC, so you will be a confident communicator; somebody who can build and maintain positive relationships, always acting as an ambassador for the PVC/HoC office.

You will be able to work under pressure and to tight deadlines, juggling a multitude of tasks which will utilise your skills and experience in several areas including servicing multiple committees, minute-taking, project administration as well as financial and HR administration. You must be a forward-looking thinker, who actively seeks opportunities and proposes solutions.

Experience of using online tools for diary management is essential and you should be proficient in the use of Office365 including Word, PowerPoint, Outlook, SharePoint, OneDrive, and Excel.
